Amazon Business Account (Differences & Who is This For)

Amazon offers a large number of popular products and services such as Kindle, Echo, Fire TV, Prime Video, Amazon Music, Kindle Unlimited, Whole Foods Market, Zappos, and more.

There is a completely different part of Amazon that remains hidden from most people called Amazon Business. While the regular Amazon online store is mainly targeted at consumers, the Amazon Business online marketplace is specifically designed for business users.

What is Amazon Business Account?

Amazon Business offers useful functionalities like volume discounts, tax-exempt purchasing, multi-user accounts, purchase approval workflow, shared payment methods, reporting and analytics. It is an online marketplace of business products for businesses of all sizes.

You need to have your business verified before you are approved to join, and it is completely free.

Just like Amazon offers Amazon Prime to its customers, Amazon Business has its own version of Prime – Amazon Business Prime. There are actually 5 different plans of Amazon Business Prime.

It also requires the $119 per year Prime membership as a prerequisite. The mid-tier plan, Small, costs $499 per year and allows up to 10 users. The most expensive Business Prime plan, Enterprise, costs $10,099 per year and supports more than 100 users. Different plans also offer different levels of benefits and features.

Amazon Business Prime offers a wide range of benefits – free 2-day, 1-day, and same-day shipping, member-only deals, progressive discounts, consolidated shipping, customized designated day for delivery, free survey & analytics tools, advanced visualization & business intelligence software, automated purchase compliance, document management & collaboration tool, increased Amazon credit card cash back, extended payment terms, and more.

Not all of these features are available in all Business Prime plans. For example, the automated purchase compliance tool, called Guided Buying, is not available to members of the Duo plan. Extended payment terms are not available for either the Duo or the Essentials plan.

What is Business Prime Duo?

Business Prime Duo is the cheapest Amazon business account that costs $79 per year and only allows 1 user. Business Prime Duo gives small business owners the ability to add work benefits to their existing Amazon Prime membership.

If you own or work for a business that makes purchases regularly, it is worth it to check out Amazon Business. Here’s a link to Sign up with Amazon Business for Free.

How Does Amazon Business Work

One thing to keep in mind about Amazon Business is that it does not have a separate website or web address – you cannot type in an URL into the address bar of your web browser to visit Amazon Business.

To visit Amazon Business, you need to create a free Amazon Business account (see the section below for instructions on how to do so.) You can then go to the regular Amazon website Amazon.com and sign in with your Amazon Business account.

Once you are signed in with your Amazon Business account, you will be able to view and buy all the products for sale at Amazon Business. You will also be able to access all the unique functionality of Amazon Business such as purchase approval workflow, search by seller credentials, reporting, analytics, and more.

In general, the user interface of Amazon Business is very similar to that of the regular Amazon website. As a result, most people should be able to get up to speed on Amazon Business very quickly. The major operations on Amazon Business are very similar to that on Amazon but with a few differences:

  • Account Settings: Just like with the regular Amazon website, once you are signed in to your Amazon Business account, you can access your Account settings by clicking on your name in the upper right corner of the screen and then click Account under the heading of Your Account in the drop down menu that appears. In addition to the typical account settings of Amazon accounts, users of Amazon Business get extra settings such as:
    • Business settings – add users, remove users, set up approval workflows, manage payment options, enter tax exemption information
    • Business analytics – generate reports, reconcile invoices, perform analysis
    • Supplier management – add and remove preferred suppliers
  • Search & Browse: You can search for and browse products on Amazon Business in a way similar to how you would do so on the regular Amazon website. And just like how you would on Amazon, you can narrow down your search results on Amazon Business by applying the usual filters – price range, brand, product condition (new, used, etc), product specific attributes (e.g., RAM size, storage size, number of CPU cores, and screen size for laptops), and more. However, with Amazon Business, you get extra search filters that are useful for business buyers:
    • Seller Type – You can search specifically for sellers that cater to business buyers
    • Seller Credentials – You can search specifically for sellers that have specific quality certification (such as ISO or AS certificate) or diversity credentials (such as Minority-, Woman-, or Veteran-Owned Small Business)
  • Ordering Process: The process of placing an order at Amazon Business is very similar to that at the regular Amazon site – you choose the quantity of the item you want to buy, decide whether to opt for a recurring subscription or not, put the item into your shopping cart, go to your shopping cart to confirm your shipping details and payment method, and then finally place the order. The main difference here is that Amazon Business supports purchase approval workflow. So, if your business has set up a purchase approval workflow, any order you place will have to go through a pre-specified workflow process and get past the necessary approvers and compliance rules before it can be sent to the seller on Amazon Business
  • Reporting & Analytics: With the regular Amazon, the only reporting functionality you get is to get a list of all the orders you have made in the past. With Amazon Business, you get a much more expanded reporting and analytics functionality – in addition to reports on orders, you can also get reports on shipments, returns, refunds, and reconciliation. You can also create custom reports and perform various analyses.

5 Different Plans of Amazon Business Prime

Different Amazon Business Prime plans offer different benefits. And not all of the Business Prime features mentioned in the previous section are available to all Business Prime plans. For example, Guide Buying is not available to Duo members, and Extended Terms for Pay By Invoice is not available to either Duo or Essentials members.

  • Duo – $69 per year. 1 user. Requires an Amazon Prime subscription that costs $119 per year
  • Essentials – $179 per year. Up to 3 users
  • Small – $499 per year. Up to 10 users
  • Medium – $1,299 per year. Up to 100 users
  • Enterprise – $10,099 per year. Over 100 users

The table below summarizes the costs and features of the 5 plans of Business Prime and shows how they stack up against each other.

  • Prominent businesses such as Exxon Mobil, Uber, BP, Motorola, Vacasa, 3M, Chevron, NC State University, College Place School District, State of Utah government, Intel, Seattle Children’s Hospital, John Hopkins University, University of Washington, City of Baltimore, State of Oklahoma, and more
  • 55 of the top Fortune 100 companies
  • 84 of the top 100 health systems
  • 9 of the top 10 children’s hospitals
  • 8 of the top 10 senior living corporations
  • 80% of the 100 largest education organizations in the US
  • 40% of the 100 most populous local governments in the US
  • 30 largest national charities
  • 75K nonprofit customers
  • 28K faith-based organizations

Who Is Amazon Business for

Amazon Business is designed for both large enterprises and small businesses. While 55 of the largest 100 companies in the US are customers of Amazon Business, there are also millions of small businesses that use Amazon Business for procurement.

As for industry sectors, Amazon Business has an especially strong presence in the healthcare and education sectors, as evident from the facts that 84 of the top 100 health systems, 9 of the top 10 children’s hospitals, and 80% of the 100 largest education organizations in the US are all customers of Amazon Business.

But given that many of the top product categories on Amazon Business – office supplies, IT products, janitorial supplies, etc – are not industry-specific, businesses in all sectors should be able to find values in Amazon Business.

Since Amazon Business is free to join, there is no harm in signing up for an account there to check out its prices and offers. Just keep in mind that just because it is Amazon does not mean that it offers the best prices. Your regular suppliers may very well have more competitive prices than Amazon Business.

Amazon vs Amazon Business

Amazon Business offers hundreds of millions of products from hundreds of thousands of business sellers that are tailored to the needs of businesses. It also offers a wide range of features that are designed specifically to meet the needs of businesses of all sizes.

Anyone with an Amazon account can make purchases on the Amazon website. Similarly, anyone with an Amazon Business account can shop on the Amazon Business marketplace. You can sign up for an Amazon Business account for free – there are no membership fees required.

However, Amazon will verify your business before approving your Amazon Business account. You will be asked to provide information such as the name of your employer/business and its Business Tax ID during the sign-up process.

To make the purchasing process more efficient and effective for its business users, Amazon Business also offers a lot of features that are not found on the regular Amazon online store but can be very useful for businesses of all sizes.

These business-oriented features include volume discounts, tax-exempt purchasing, multi-user accounts, purchasing workflow, purchase compliance policies, consolidated orders with pallet delivery, reporting & analytics, and more.

To expand on the table above and to give you a better understanding of the offering of Amazon Business, we will look into the main Amazon Business features in more detail:

  • Business-Only Products: You will find business-only products on Amazon Business that you will not find on the regular Amazon marketplace. For example, if you run or work for a restaurant, you will find on Amazon Business restaurant supplies that you do not normally find on Amazon
  • Business-Only Pricing: On Amazon Business, you will find business-only prices on millions of products. There are also various discounts and deals targeted at business buyers
  • Quantity Discounts: Quantity discounts are available for over 60 million products on Amazon Business. And the great thing is, you do not need to buy a large quantity to enjoy this discount – discount tiers start as low as 2 items. If you do not see a quantity discount for an item you want, you can even request one from multiple suppliers for your bulk purchase
  • Customized Delivery Preferences: If you are an administrator of your company’s Amazon Business account, you can edit delivery preferences for your shared addresses under Business Settings. If you are a purchaser, you can customize delivery preferences for your individual address. Customization options include:
    • Preferred days & times of delivery: Choose days and times during which you would like shipments to be delivered
    • Days to avoid delivery: Specify business closure days and holidays on which you cannot receive deliveries
    • Delivery instructions & locations: Provide instructions for how you want shipments delivered. For example, identify locations such as a loading dock or mail room or front office where shipments can be delivered, provide an access code to enter your building, etc
    • Same-day evening delivery: Enable same-day shipping if your business can accept deliveries during evening hours
    • Pallet delivery: Choose pallet deliveries on eligible large shipments if your business is capable of receiving pallets. Only commercial addresses are eligible for pallet deliveries
  • Seller Quality Certifications & Diversity Credentials: Sellers on Amazon Business can display on their profiles quality certifications such as ISO & AS certificates and diverse credentials such as Minority-, Woman-, or Veteran-Owned Small Business. Buyers can filter suppliers in search results by their desired certifications & credentials
  • Tax-Exempt Purchasing: If you work for a tax-exempt organization such as a school, charity, or place of worship, you can enroll your organization in the Amazon Tax Exemption Program. After that, all purchases your organization makes on Amazon Business will be exempt from state and local sale taxes
  • Multi-User Accounts: Unlike the regular Amazon online store that is made for individual customers to make purchases, Amazon Business is a full-scale business procurement system that is made for teams of people to work together to make purchases. Once you have created an Amazon Business account for your organization, you can add multiple employees with different roles to that account. You can also create multiple purchasing groups. In short, you can re-create the organizational structure of your business on Amazon Business to facilitate your procurement process
  • Purchase Approval Workflow: Once you have set up multiple users within your Amazon Business account, you can set up an automated procurement workflow to control the spending limit of each purchaser, create approval rules, set approvers, and more. You can do this in 2 different ways:
    • Amazon Business’s built-in workflow system: You can set workflow rules and spending limits using the built-in functionality of Amazon Business
    • External business procurement systems: Alternatively, you can integrate Amazon Business with an external procurement system in which you have already set up your procurement workflow. Amazon has already integrated Amazon Business with more than 100 external procurement systems, such as SAP, Ariba, Oracle – iProcurement, Peoplesoft, Microsoft – Dynamics 365, Workday, ProcureDesk, and more
  • Integration with External Procurement Systems: Besides automating purchasing workflow as described in the bullet point above, you can also use an external procurement system for many other aspects of the purchasing process on Amazon Business, such as handling e-invoices, enforcing compliance policies, manage end-to-end reconciliation electronically, generating reports, running analytics, and more. This is especially useful for businesses that have already standardized on an external procurement system and would prefer to continue to use it for its purchases on Amazon Business. The pre-made integration between Amazon Business and more than 100 business procurement systems mentioned above is particularly valuable in use cases like this
  • Shared Payment Methods: You can share a payment method – such as your business’s checking account or business credit card – with a few users or the entire team of your Amazon Business account. You can also organize buyers into groups so they can purchase using shared payment methods. This way, you can track spending, streamline processing, ensure compliance, increase visibility, and improve reporting
  • Reporting & Analytics: Amazon Business offers a variety of reporting and analytics features related to the purchasing activities of your business
    • Reports & Dashboards: Save time compiling recurring reports by using out-of-the-box reports and dashboards that automatically pull in Amazon Business spend data to populate canned or custom reports, which can be created using any of over 100 attributes
    • Spend Tracking: Track your progress toward spending goals and discover new ways to reduce costs
    • Spend Analysis: Analyze your purchasing from diversity sellers, see your top categories by spend, and compare your spending on preferred and restricted items
    • Purchasing Trends: Identify purchasing trends by tracking purchases made by individuals and groups within your organization
    • Spend Optimization: Use pre-built reports or build custom reports to identify opportunities for optimizing spend such as supplier consolidation, bulk purchasing, and tax-exemptions
    • Multiple Reports: Available ready-made reports include orders, shipments, returns, refunds, and reconciliation

Amazon Prime vs Amazon Business Prime

Just like the regular Amazon offers a paid membership called Amazon Prime, Amazon Business also offers a similar paid membership called Amazon Business Prime.

And just like Amazon Prime with its 30-day free trial, Amazon Business Prime also offers its own 30-day free trial. It is a great way to test things out before you commit to spending any money on an Amazon Business Prime membership.

Any business that has signed up for an Amazon Business account can subscribe to Amazon Business Prime. But unlike Amazon Prime that only has one plan, Amazon Business Prime has 5 different plans that charge different membership fees and offer different levels of benefits. We will get into the detail of these 5 plans and see how they stack up against each other in another section later.

The main similarities and differences between Amazon Business Prime and Amazon Prime are:

  • Free Trial: Both Amazon Business Prime and Amazon Prime offer 30-day free trials. To sign up for a free trial of Amazon Business Prime, you would need to have an Amazon Business account first
  • Number of Plans: While Amazon Prime only has 1 plan, Amazon Business Prime offers 5 different plans, each offering different benefits and charging a different annual fee
  • Annual Fee: Amazon Prime charges a fee of $119 per year. Amazon Business Prime charges different fees ranging from $69 to $10,099 per year depending on the specific plan of Amazon Business Prime
  • Free 2-Day Delivery: Amazon Business Prime offers nationwide free 2-day for more than 100 million products on Amazon Business. Similarly, Amazon Prime offers nationwide free 2-day for millions of products on Amazon. No minimum purchase is required in either case
  • Free 1-Day Delivery: Amazon Business Prime offers nationwide free 2-day for millions of products on Amazon Business. Similarly, Amazon Prime offers nationwide free 2-day for more than 10 million products on Amazon. No minimum purchase is required in either case
  • Free Same-Day Delivery: Both Amazon Business Prime and Amazon Prime offer free same-day delivery in select regions on eligible items for qualifying orders over $35. Place your order in the morning, typically before noon, to get it today by 9 pm. That means to receive same day delivery, your business must open until 9 at night. Before you can get same-day delivery, you have to enable it in the account settings section of your Amazon Business account
  • Free 2-Hour Delivery: Amazon Prime offers free ultra-fast 2-hour delivery in select regions mainly for grocery items. Amazon Business Prime does not offer any 2-hour delivery service, free or paid
  • Member-Only Deals: Amazon Business Prime offers a lot of exclusive deals and discounts that are only available to its members. After you have become a member, you can check out these deals here. Likewise, Amazon Prime also offers a lot of exclusive deals and discounts to its members only. You can find these deals at Amazon and Whole Foods Market. And then there is the annual Prime Day savings event that is for Prime members only
  • Progressive Discounts: Progressive discount is a volume-based discounting scheme only available to Amazon Business Prime members. While it is based on volume, you do not have to buy the required volume all at the same time and you do not have to buy it all by yourself. You, together with everyone who works at your business, can build up the purchase volume over time and “unlock” the progressive discount when you have collectively reached a certain volume of purchase. Members of Amazon Business Prime do not have to do anything to get progressive discounts. Anytime someone in your business buys an item on Amazon Business that is eligible for progressive discounts, Amazon Business will keep track of that purchase in the background. As soon as people in your business have collectively purchased enough volume of that item in the previous 12 months to clear the threshold of progressive discount of that item, your business will have unlocked that progressive discount. From that point on, a progressive discount will be applied to all purchases of that item across your organization. Once a discount is unlocked for a product, customers will see the Progressive Discount badge in search results. The discount is applied to all purchases of that product across an organization. Deeper discounts can be unlocked by purchasing more over time
  • Consolidated Shipping: Some businesses prefer to minimize the number of deliveries to their locations each week to reduce disruptions to their day-to-day operations. Amazon Business Prime’s consolidated shipping lets your company do just that. Consolidated shipping groups large eligible business orders into as few shipments as possible. To qualify, the order must have 5 or more eligible items. Orders must meet certain volume (greater than 10 cu ft) or weight (greater than 100 pounds) requirements. Instead of the typical 2-day shipping of Business Prime, consolidated shipping usually arrive in 3 to 5 days
  • Amazon Day for Business: If your orders are not eligible for consolidated shipping, you can still minimize your deliveries by using Amazon Day for Business. This benefit allows Business Prime members to minimize their deliveries and packages by choosing a day of the week for each address to receive all of their weekly eligible ordered items. Eligible items can typically be ordered for Amazon Day delivery up to two days before your chosen day. You can set your Amazon Day by going to Your Account -> Your Addresses
  • Extended Term or Increased Reward for Amazon Credit Card: Amazon Business Prime members who are also cardholders of Amazon Business Prime American Express Card can get either 5% cash back or 90 days to pay interest free on US purchases at Amazon Business, Amazon, AWS, and Whole Foods Market. Regular cardholders of this card only get 3% cash back or 60 days terms on the same types of purchases
  • Free survey & analytics tools: Business Prime members get free survey tools to send surveys to their customers through email, web, SMS, POS kiosk, and other integrated services. They also get free analytic tools to uncover insights that inspire customer loyalty and drive business growth. These tools are provided by Delighted by Qualtrics
  • Spend Visibility: While Amazon Business comes with basic reporting and analytics tools (see the section above for more detail), Amazon Business Prime offers a more advanced analytics and visualization tool called Spend Visibility. It tracks your buying patterns to optimize savings. It provides data visualizations to help you analyze your spending, make smart budgeting decisions, easily locate compliance issues, and find opportunities to save in the future. Spend Visibility is powered by Amazon QuickSight, a Machine Learning-enabled (ML-enabled) Business Intelligence (BI) paid service running on AWS (Amazon Web Services.) Not all Business Prime plans come with Spend Visibility. For example, Duo, the cheapest tier of Business Prime, does not offer this feature
  • Guided Buying: Amazon Business comes with a purchase approval workflow to help businesses to enforce purchasing policies (see the section above for more detail.) Amazon Business Prime takes this idea one step further by offering the Guided Buying feature. Using this feature, companies can create policy rules that guide employees to approved products and help prevent procurement violations. To create a policy, choose a product or seller and categories it using 1 of 3 policy types – Preferred (you want your employees to choose this product or seller first), Restricted (employees should normally not choose this product or seller because they do not meet your company’s procurement policies. Turn on approval workflow to help enforce policy), and Blocked (employees should never choose this product or seller. This policy type is only available on the Enterprise plan of Business Prime.) Once you have created a policy, employees will see notifications on relevant Amazon Business products detail pages and search results so they will understand their buying options at a glance. They will also see custom messages you have written that provide added context or advice. You will also have the ability to show your employees alternative product options and to spotlight specific products or sellers. Guided Buying is only available in select plans of Business Prime.
  • Document Management & Collaboration: Business Prime members have access to Amazon WorkDocs, a secure cloud storage and collaboration service for business documents. You can use WorkDocs to easily search for and collaborate on your business documents including invoices, receipts, and other files from a single, secure location. Different Business Prime plans offer different versions of WorkDocs with different storage sizes and different limits on the number of managed users
  • Extended Terms for Pay By Invoice: Pay by Invoice is a payment method that allows eligible Amazon Business customers to purchase items on credit. With Pay by Invoice, businesses can buy now and pay later with no interest or fees. Regular Amazon Business customers get 30-day payment terms for Pay By Invoice. With the Business Prime Small and Business Prime Medium plans, you can get your Pay By Invoice payment terms extended to 45 days. With the Business Prime Enterprise plan, you can get your Pay By Invoice terms extended to 60 days
  • Deployment Optimization Services: Members of the Business Prime Enterprise plan get free deployment optimization services from Amazon Business Professional Services, Amazon’s business consulting arm, to optimize the deployment & configuration of their Business Prime Enterprise solution. These optimization services will help you understand and configure the Guided Buying or the Spend Visibility features available with Business Prime Enterprise. Every year that your Business Prime Enterprise plan is active, you get 1 free optimization service from Amazon. And you will have 2 options in where to use your free optimization service – you can choose to optimize either the Guided Buying or the Spend Visibility functionality of your Business Prime Enterprise solution
  • TV, Movies, Music, Games, eBooks, Audio Books: Amazon Prime comes with free access to a large number of digital content such as TV shows, movies, music, games, ebooks, and audio books. With Amazon Business Prime, you do not get access to any of these contents. So, no Prime Video, no Amazon Music Prime, no Prime Reading, and no Prime Gaming.

A group can be any collection of people, locations, business units, departments, or any entity that fits your company’s needs. You can base groups on departments, purchasing needs, projects, etc. Other common business-specific groups are: purchasing card names, cost centers, tax ID numbers, and payment method types.

Groups can have individual or shared payment methods, or both. Groups can have individual or shared shipping addresses. Groups may or may not require approvals. You can create nested groups – groups within a group.
